About the Position
Under general direction, the Executive Assistant to the Ambassador of Australia provides high-level executive, administrative and organisational support to the Ambassador and DFAT management team. Responsibilities include assisting with the organisation of HOM representational events, facilitating programs for visiting officials and supporting the Embassy’s daily operations.
This is a fixed-term substitute contract for a period of 23 months, covering for the permanent incumbent whilst on leave. The intended start date for the position is from July 2025 and no later than 1 August 2025.
The key responsibilities of the position include, but are not limited to:
- Provide high level administrative and organisational support to the Ambassador, including diary management, managing meeting requests and invitations, booking and acquitting official travel and representational activities, completing appropriate record-keeping and managing incoming and outgoing correspondence and telephone enquiries.
- Provide administrative and logistical support for the facilitation of effective visit programs and representational functions and events, in coordination with the official residence as required.
- Managing the Ambassador’s representation budget and prepare administrative documents and acquittals for the Ambassador.
- Manage Protocol arrangements, including diplomatic accreditation and visa processes and providing notifications to host governments and Canberra of official travel and absences.
- Liaise with key stakeholders across government, business, non-governmental organisations (NGOs), policy institutes, academia, the diplomatic corps and members of the public.
- Provide Swedish-English translation services as required.
- Support the daily administrative operations of the Embassy including assisting to manage the Embassy’s reception duties.
- Adherence to Australian Public Service and departmental policies, practices, values and guidelines.
- Perform other administrative and support duties as required, including back-up support to the Policy and Research Officer.
Qualifications/Experience
- Previous experience providing high-level executive, administration and organisational support.
- Strong organisational skills, ability to multi-task and manage priorities, take initiative and work under pressure.
- Strong oral and written English and Swedish communication skills, with accuracy in spelling, punctuation and grammar.
- Proficiency with Microsoft Office programs and social media platforms.
- Effective stakeholder management skills with the proven communication skills required to support effective engagement with internal and external contacts.
- Ability to work both independently and collaborate as part of a small team with integrity, honesty and reliability.
- Ability to exercise discretion and manage sensitive information in accordance with policy requirements.

About the Position
Under limited direction, the Consular and Passports Manager leads a small team responsible for providing the efficient and effective operation of consular, notarial and passport services at the Australian Embassy, Stockholm.
As a key member of the Embassy management team, this position ensures consular assistance and passport services are delivered on a timely basis, in accordance with policy requirements to clients both in Sweden and countries of accreditation (Finland, Latvia and Estonia). This position also provides back-up support and assistance on corporate management matters and enabling services delivery as required.
Key responsibilities of the position include but are not limited to:
- Manage and deliver the provision of consular, notarial and passport services to Australian citizens in Sweden and other countries of accreditation in accordance with Australian Government guidelines and legislation.
- Lead and manage a small team, establish work priorities, monitor and provide feedback on performance and identify learning opportunities.
- Establish and develop a network of key contacts in relation to consular and passport matters across host governments, local authorities, other diplomatic missions and service providers.
- Manage complex and often highly sensitive consular cases and requests for advice and provide on the ground assistance to clients, including but not limited to prison and hospital visits.
- Complete comprehensive reporting on consular and passport cases, including preparation of briefings for senior stakeholders and drafting cables.
- Provide training, support and guidance to Honorary Consuls in countries of accreditation.
- Plan and manage consular responses to significant consular events and crises, including contingency planning exercises and crisis preparedness advice.
- Manage and update consular and passport information on the official website and social media platforms, including consular fees and travel advisories.
- Operate and maintain consular, passports, notarial, crisis and other related databases, social media platforms and filing systems.
- Perform voting assistance functions during Australian federal, state and/or territory elections.
- Provide back-up support and assistance on corporate management matters and enabling services delivery as required.
Qualifications/Experience
- Demonstrated ability to lead and develop team members in a high-pressure client-focused environment.

- Strong interpersonal skills and demonstrated experience effectively working in client services, assisting people facing difficult and sensitive situations.

- Sound knowledge of local laws and customs, government agencies, local authorities and social services in Sweden; a similar knowledge for countries of accreditation would be desirable.
- Excellent communication skills including both written and spoken English and Swedish.
- Ability and willingness to periodically travel to provide outreach services to clients in various locations across Sweden and countries of accreditation.
